How we handle your information.

This policy explains what HVAC-AIR Conditioning Corporation (“HVAC-AIR,” “we,” “us”) collects through this website, why, who we share it with, and the choices you have. We do not sell your personal information.

What we collect

Information you give us. When you request a quote or a call back, we collect:

Your name, phone number, email address (optional) and the ZIP code of the property.
Details about the property and the work: for example the age and type of your system, how soon you need help, the number of units you own or manage, and anything you write in the notes field.
Whether you agreed to receive text messages (see “Text messages” below).

Information collected automatically. When you submit the form we also record:

The page you submitted it from, and any campaign tags in the link that brought you here (such as utm_source or a Google Ads click identifier), so we know which advertising works.
Your IP address and browser type, which we use to prevent spam and abuse of the form.

If analytics are enabled on the site, Google Analytics uses cookies to measure visits and page views, and records when someone submits the form or taps a phone number. See “Cookies and analytics” below.

Proposals.If we send you a proposal, it opens from a private link that only you receive. We record when the link is opened. When you approve an option or tell us you're not going ahead, we record the name you type, any note you add, the option and price you chose, the time, and your IP address and browser type, as a record of your decision. Analytics never run on proposal pages.

How we use it

To call or email you back, schedule a visit, prepare a quote, and perform and invoice the work you ask for.
To send appointment confirmations and technician updates by text, only if you opted in.
To keep records required for permits, warranties, rebate applications and our licensing and tax obligations.
To understand which pages and advertising bring us customers, and to improve the site.
To protect the site and our business from spam, fraud and misuse.

Who we share it with

We share personal information only with:

Service providers that run parts of our business for us under contract: website hosting (Vercel), our database (Neon), email delivery (Resend), our accounting system (QuickBooks), and analytics and advertising measurement (Google). They may use the information only to provide their service to us.
Utilities and program administrators when you ask us to apply for a rebate or incentive on your behalf (for example LADWP or TECH Clean California), limited to what the application requires.
Permitting authorities and HERS raters when a permit or inspection for your job requires it.
Authorities or others when the law requires it, or to protect our rights or someone’s safety.
A buyer or successor, if our business is sold or reorganized, under the same protections described here.

We do not sell your personal information, and we do not share it with other companies for their own marketing.

Text messages

Texts are optional. We send them only if you check the box on our form or tell us you want them, and only about your appointments and service: confirmations, reminders and “technician on the way” updates. We do not send marketing texts. Message frequency varies with your appointments; message and data rates may apply. Reply STOP to stop at any time, or HELP for help. Agreeing to texts is not a condition of any purchase. We do not share your phone number or text consent with third parties for their marketing.

Cookies and analytics

When analytics are enabled, this site uses Google Analytics, which sets cookies to count visits and measure which pages and ads lead to a quote request or a call. Google processes this data under its own policies (how Google uses information from sites that use its services). You can block or delete cookies in your browser, or install Google’s opt-out add-on.

Service-area map. The map on our home and service-area pages is provided by Google Maps. When it loads, Google may receive your IP address and set cookies under its own policies. It loads only when you scroll to it.

Global Privacy Control. If your browser sends a Global Privacy Control signal, we treat it as a request to opt out, and this site does not load Google Analytics or advertising measurement for you.

How long we keep it

If you become a customer, we keep your contact, property and job records for as long as you are a customer and afterward for as long as needed for warranties, permits, rebate audits and our legal, licensing and tax obligations. Requests that don’t turn into work are kept for up to three years and then deleted or de-identified.

Your California privacy rights

If you are a California resident, you can ask us to:

Tell you what personal information we have collected about you, where it came from, why we collected it and who we shared it with.
Give you a copy of it.
Correct information that is inaccurate.
Delete it, subject to records we must keep by law or to finish work you asked for.
Not use it for advertising measurement (you can also use Global Privacy Control, above).

To make a request, email sales@hvac-air.com or call (909) 594-7620. We will verify your request by confirming details you already gave us, and respond within 45 days. You may use an authorized agent. We will not treat you differently for exercising these rights.

Security

We use encrypted connections, access controls and reputable service providers to protect your information. No system is perfectly secure, so please don’t send payment card numbers or other sensitive information through the form.

Children

This site is meant for adults arranging work on their homes or rental properties. We do not knowingly collect information from children under 16.

Changes

If we change this policy we will post the new version here and update the effective date above.
